This notice explains how Bine Properties Ltd uses personal data about people at businesses we contact, including directors and staff of property-owning companies (about our lettings management service) and people at accountancy, legal and other professional firms (about partnering with us). It adds to our main website privacy policy.

1. Who we are

Bine Properties Ltd (company no. 12881112), registered office 167-169 Great Portland Street, London W1W 5PF, is the controller of your personal data. We are registered with the Information Commissioner’s Office (ICO) under registration number ZB380825.
Contact: paulb@binepropertiesltd.co.uk | 0330 133 4095 | post to the address above, marked “Data protection”.

2. What data we hold

  • your name, job title or role, and the firm you work for

  • your business email address, business phone number and office address

  • public information about your firm, such as its services, sector and locations

  • a record of what we sent you, any reply, and your preferences, including any request to opt out

We do not collect special category data. We do not seek details of a professional firm’s clients.

3. Where we got it

We did not get your data from you. It came from public sources:

  • Companies House (the public register of companies and LLPs), including the names of company directors

  • your firm’s own public website

  • public professional directories, such as the ICAEW directory, public business directories and public LinkedIn profiles

The email to you states which of these sources we used.

4. Why we use it and our lawful basis

We use it to introduce our lettings management and compliance service to your company, to explore a referral or partnership with your firm, to follow up once if you do not reply, and to keep a record of anyone who has asked us not to contact them again.

Our lawful basis is legitimate interests (UK GDPR Article 6(1)(f)). Our interest is in offering our services to companies that own rental property and in developing business relationships with firms that advise them.

  • We contact only business addresses and numbers that are published for business use. Before calling, we screen numbers against the Telephone and Corporate Telephone Preference Services (TPS and CTPS).

  • We send a small number of relevant, business-to-business messages.

  • Each message tells you how to opt out.

  • We use a business’s details only to offer services relevant to its business.

We consider that this does not override your interests or rights.

Under the Privacy and Electronic Communications Regulations (PECR), we email corporate subscribers. Where your firm is a partnership or sole trader, PECR treats it as an individual subscriber. We will email such firms only where the rules allow it or where you have agreed, and we always offer an opt-out.

5. Who we share it with

We do not sell your data. We share it only with service providers who process it on our behalf under contract, such as email and IT hosting and our CRM provider. We also share it with professional advisers, or where the law requires us to.

6. International transfers

Some of our providers may process data outside the UK. Where they do, we rely on UK adequacy regulations or the UK International Data Transfer Agreement or Addendum.

7. How long we keep it

  • We keep outreach records for up to 12 months after our last contact with you, unless we go on to work together.

  • If you opt out, we keep only your name, email address and the date of your request on a suppression list. We do this so that we do not contact you again.

8. Your rights

  • You have an absolute right to object to direct marketing. To use it, reply “no thanks” or “unsubscribe”, or email us. We will stop.

  • You also have the right to object to processing based on legitimate interests.

  • You can ask for access to, correction of, deletion of, or restriction of your data.

We make no decisions about you by automated means.

9. Complaints

Please contact us first. You also have the right to complain to the ICO. You can find the ICO at ico.org.uk/make-a-complaint or call 0303 123 1113.

10. Changes

We will update this notice if our practices change. Last updated: 31 October 2026.
